Automating a broken process gives you a broken process that runs faster and costs more to unpick. So we start by writing down what actually happens today — where a lead enters, who touches it, how long each step takes, and where it dies.
Then we automate the parts that are genuinely repeatable and leave the parts that need judgement to people. Usually that means routing and follow-up speed first, because responding in minutes rather than days changes conversion more than any clever nurture sequence.
Everything gets documented and handed over. If your automation only works while an agency logs in, you have bought a dependency rather than a system.

PREDICTIVE ANALYTICS
Forecasting Is Only Honest When the Data Is
Lead scoring, churn prediction, lifetime value modelling and budget forecasting are genuinely useful once there is enough clean history behind them. Built on a CRM full of duplicates and untracked conversions, they produce confident numbers that are wrong, which is worse than no numbers at all.
So we treat predictive work as something you earn access to. Fix tracking and data hygiene first, run long enough to have a real baseline, then model. For most companies that means it arrives in month four or five, not in the kickoff deck.
When it does arrive, the useful outputs are usually simple: which leads deserve a call today, which customers are about to leave, and how much you can afford to pay for a new one. That last number is what makes paid media decisions defensible.

WHERE AI ACTUALLY HELPS
And Where It Is Being Oversold
We use AI inside these builds daily. That is not the same as recommending it everywhere.
Works well today: classifying and routing inbound messages, drafting variant copy for testing, summarising call notes into the CRM, cleaning and matching messy customer records, first-line chat qualification, and flagging anomalies in campaign data before a human looks.
Works badly today: anything customer-facing where a confident wrong answer costs you the relationship, fully autonomous decision-making on spend, and personalisation so aggressive it reads as surveillance. We have watched all three go wrong on other people's implementations.
The rule we use: automate the repetitive and the fast; keep a human on the judgement and the apology. If a workflow cannot be explained to the person who has to live with its mistakes, it does not ship.

Marketing Automation FAQs
What is marketing automation?
Using software to run the repeatable parts of marketing and sales follow-up — lead capture, routing, scoring, lifecycle email and SMS, CRM updates, reporting — so they happen consistently and instantly instead of when somebody remembers. The goal is not fewer people; it is people spending their time on the parts that need judgement.
Which platforms do you work with?
HubSpot, Klaviyo, ActiveCampaign, Mailchimp, Salesforce, Zoho, GoHighLevel, Zapier and Make most often, plus WooCommerce, Shopify and the common booking and POS systems. We are not a reseller for any of them, which means we have no commission reason to recommend one.
Do we need to buy new software?
Usually not. Most companies are underusing what they already pay for. If a change is genuinely warranted we will make the case with numbers, including migration cost and the months of disruption, rather than treating a platform switch as a free upgrade.
How much does it cost?
Implementation projects generally run $6,000 to $25,000 depending on how many systems have to integrate and how much process design is needed. Ongoing management and optimisation is typically $1,500 to $5,000 a month. A single well-built lead-routing fix has paid for the whole project more than once.
How long does implementation take?
Six to twelve weeks for a typical build. Lead routing and a first lifecycle flow can be live in two or three. Multi-system integrations with messy historical data take longer, and we will say so before you sign rather than halfway through.
What if our CRM data is a mess?
It usually is, and that is a normal starting point rather than an embarrassment. Deduplication, field standardisation and defining what each stage actually means is part of the work. Automating on top of dirty data just distributes the mess faster.
Will this replace our marketing team?
No, and we would be suspicious of anyone promising it. It removes the copy-paste, the chasing and the manual reporting. What it frees up is time for strategy, creative and conversations with customers — the things that were being squeezed out.
Do you use AI in these builds?
Yes, where it is the right tool: routing and classification, record matching, draft copy for testing, call summarisation, anomaly detection, first-line chat. We do not put a generative model in front of a customer on a question where a confident wrong answer costs you the relationship.
Can you integrate with our custom systems?
Usually, if there is an API or a reliable export. We build custom integrations and middleware where the off-the-shelf connectors do not reach. Where a system genuinely cannot be integrated we will tell you and design around it rather than pretending.
What happens when the engagement ends?
You keep everything: the accounts, the admin access, the documentation and the training. The flows keep running. We think an agency that has to hold the keys to stay hired is telling you something about the quality of the work.
